When you guys bid on commercial properties, do you usally give them a weekly lawn cut price along with a price for weeding, and shrub trimming etc or do you give them a flat rate of lets say $30,000 for the season.

You need to break it down because you will cut weekly but not trim shrubs weekly. Unless you got some fast growing shrubs. Find out what they want done and how often they want it done. Give them a quote based on there needs. Some place want edging every week, some bi-weekly, some monthly.

I give it to them how ever they want it. If they don't care I give em a price break down for everything.

you can't shoot from the hip as much but yes, you need to list services, but not itemize.

Also you have to get a feel as to why it is being bid?

I give an annual, monthly and total with tax.

Not too many want to know why it is what it is but you do have to bid the way they want it, try to get a copy of the last contract with or without prices. More often without.

Like others have said, sit down with the manager / owner / property manager and find out what they want.

They're all going to want to be cut every week, most likely.

How many times / year do they need / want fertilizer?

Weed control?

Trimming around objects in the turf for me is included in the mowing price.

I've never edged a property in 18 years now, just not something that's ever done in my area.

Mulch replacement?

Bush / hedge trimming?

Garbage removal?

I break my proposals down like....

Enclosed you will find the proposals for the lawn / property maintenance for the Xxxxxx location in Forest Lake for the 2006 season.

Spring Clean-Up will be completed by May 15th, weather permitting. Spring Clean-Up shall include dethatching all yards, removal of all foreign material from lawns, rock beds, bushes, sidewalks and steps. This does NOT include repairing sod damaged by the snow removal contractor. Fall Clean-Up will include raking and removal of all leaves from lawns, rock beds, sidewalks and steps.

Fertilizer applications will be done 3 times by a licensed applicator. Copies of the license are available upon request. The first application will be done before May 15th, the second before July 15th, and the third will be completed no later than September 30th.

Herbicide applications will be done twice. The first will be applied prior to the emergence of broadleaf weeds in early spring, usually before June 15th. The second will be done before September 15th. One application of pre-emergent weed control will be applied before May 15th, in prevention of unwanted grasses. Properties will be marked with flags when spraying has been completed.

Lawns will be mowed to maintain a well kept appearance, between a height of 2.5”- 4.5”. Mowing will be done weekly, on a specific date to be discussed at a later date. Also, lawns will be trimmed around all foundations, plantings, displays, and other objects in mowing areas. During this weekly mowing, all garbage will be picked up across entire property and disposed of off-site.

Also, weeds in rock beds, cracks of sidewalks, parking lots and any other location outside of the mowing area will be sprayed, any of which that are greater than 2” in height to be pulled and disposed of off-site.

Any other services, such as removing trees damaged be wind, etc., services not outlined in the bid, will be done at a rate of $90 / man hour plus the cost of supplies. All extra services will have a quote approved prior to any work that is to be done.

We the contractor, will contact the management, to discuss any concerns or problems either they or the mowing crew has noticed about the property, whether it is damage to the property or in taking care of the property. At this time the mowing crew should be notified of any problems that should be addressed during the next visit.

Billing will be over a period of six months, from May 1st, 2006 until October 31st, 2006. Invoices will be sent out the first of the month, and are due by the 20th of the month, unless prior arrangements are made.

The pricing for the Forest Lake location breaks down as follows:

Lawn mowing will be $5112 / year, based on 24 mowing weeks,
including spring and fall cleanups.

Fertilizer applications with broad leaf control will be $235.07 per
application.

Total price for mowing and (4) applications will be $6052.28.

All pricing includes sales tax when applicable.

This will be my 18th year in the lawn care business. Copies of references, liability insurance, work comp., and a list of equipment to be used, along with any other information is available upon request. I would like to earn your business again, possibly meeting in person to discuss any problem areas.

This agreement may be terminated by either party with a 30 day written notice, or upon sale of this property.

This property is for sale, or the part about the sale of the property is not usually listed.

The breakdown for the fertilizing, that's how I'll breakdown each service, so the potential customer knows, but I end up just adding it all in one total price, then dividing it by the number of months that I'll perform the service.

Usually for me, it's 6 months, from May until October, at least where I'm at in MN.

Wal-Mart contracts are listed as yearly accounts, so I have to divide that amount over 12 months, however some managers don't agree that they pay for lawn maintenance in the middle of winter, when they're paying for snowplowing as well, so I'm able to get them to agree to pay for it for 6 months, or one manager wanted to pay for the whole year in one payment, which was a nice way to get the spring going.
