I got a hold of an HOA pres that manages two extreamly nice neighborhoods near where I'd like to get more business. She told me to just send a 'package' with all of my information.
Now I have an idea of what she wants. I wish I would have asked her to be more specific, but I'm wondering what you guys think I should include... Proposals, company info, maybe an intro letter, testimonials/references, a brochure, website info, who I'm insured through, proof of insurance, sample contract, list of services, ect... Am I on the right track? What should my proposal include?

Thanks in advance, and sry if this had been asked. It's 430am and I just got off work after a 16 hour day, not much time to search

Dont send a bid. You dont know what your bidding on.
Contact person
Business name
Phone
Fax
Insurance amounts
worker comp amount
auto insurance amount
list a min of 3 references (commercial)
And leave a note in there saying
hi ****** per our conversation on 1-23-09 just wanted to get you that information you were asking for, Please give me a call anytime personal and work phone, so we can discussed the requirements of your properties as you requested.

Something like that, don't waste their time and be professional.
They aren't looking for friends, they are looking for a job to be done, and done right the first time. Keep this in mind, when they hire someone and that person messes up they have messed up. Do what your saying your going to do and you'll go places.

Hey Vince- It doesn't hurt to submit a package of sorts, but I tend to not waste my time with these places unless they want a bid. I always try to cut the BS and get to the point with these places.
Otherwise, pretty much the materials everyone else suggested sounds good.

Did you call her? or did she call you? If your "cold calling" I would not push your business on her, just send a basic company profile. Are you trying to cherry pick the HOA from another LCO?

The most important for any professional organization is a cover/introduction letter. In the cover latter you can include that you're fully insured and can include references. Keep it professional and not sounding like a flier. Other than that, maybe include a brochure.

sounds good and easy. I didn't realize alls she wanted was a profile of sorts, which I do have. I've never delt with HOAs before so thanks for the clearification.
