Keeping a Gas Log

This is my first post have read & enjoyed this site for over a year. Can anyone tell me the best way to keep track of gas for trucks & equipment ? Some kind of a form or sheet I can use.

For your truck the office supply stores carry pre-printed milage logs that you use daily to track miles, gas & all other expenses. Seems like I pay about $5-10. For about the same $ you can get a hard bound record book for machine gas, if you feel the need. For me it is a ledger entry, so I see that total on an expense report at the end of the month.

I keep all reciepts for expensise gas, supplies, equip whatever I spend for the business in a big envelope, and enter into my quicken at the end of the month. Its helps me keep track of what I spend, when I spend it and where I spend it. I can print off each individual listing for a total at the end of the year.

As far as mileage I just keep a simple noteook write down the date, when I started and when I finish

It may not work for some but it works for me! :blob3:

We use Exxon Fleet and Wright Express, They send a detailed report with the statement each month. Each truck has a card in it and each card is numbered. all we do is keep a record of which card is in which truck and when the guys get gas, the guy at the station has to enter the liscense plate in the pump so this way guys can't use the cards unless it's with it's assigned truck also each guy is assigned a pin # that they have to enter at the pump.

Remember to keep track of both the gas you use for the truck and for the mowers seperately. Gas used for non-highway use can be partially refunded. It was $0.18/gallon in NH. Not much but it adds up.
