Seasonal Contract Breakdown, Weeks vs Months

Hey Guys,

Trying to make my pre-seasonal contracts / agreements more efficient and accurate.

Previous seasons I would quote all estimates in a monthly format.

Where as each month would be a set-rate.

I would switch from weekly to bi-weekly services come summer during the drought.

I ran into issues with some months having 4 weeks and some 5 weeks,

I also made the mistake of switching over to bi-weekly during the summer and not switching back to weekly in the fall, a lot of double cutting. Contemplating maybe switching only July over to bi-weekly or not at all.

Example: 2020 Seasonal Estimate

Spring Cleanup - April 10 - 15 $500 invoiced after service

- 7 months (April 15th - Nov 15th)
- 0.50 Acres
- Uphill slopes
- Sensitive area's prone to mower-stress
- Walk-Behind & smaller mowers to be used

* All lawn area's mowed & trimmed as designated by Ben
* All sensitive area's left alone until mid-season

- Sample Mowing Schedule:

*April 15th - May 15th (Weekly) - $600 (Invoice April 15)
*May 15th - June 15th (Weekly) - $600 (Invoice May 15)
*June 15th - July 15th (Weekly) - $600 (Invoice June 15)
*July 15th - Aug 15th (Bi-Weekly) - $400 (Invoice July 15)
*Aug 15th - Sept 15th (Bi-Weekly) $400 (Invoice Aug 15)
*Sept 15th - Oct 15th (Bi-Weekly) - $400 (Invoice Sept 15)
*Oct 15th - Nov 15th (Bi-Weekly) $400 (Invoice Oct 15)

* Weekly - $150 per service ($600 per month)
* Bi-weekly - $200 per service ($400 per month)

- Totals: $3400 / 7 = $485 per month

Fall Cleanup - Nov 10 - $600 invoiced after service




* Is weekly format more accurate?
* I still want to invoice monthly, some clients pre-pay the season
* Do you guys switch at all to bi-weekly? Customer says "why am I paying you for grass not growing and you're not cutting?"


2021 Estimate Example:

* April 15 - Nov 15
* 7 months
* Weekly maintenance only (Weather conditions can effect service frequency, flat rate still applies)
* 28 - 33 services (Day of the week depending)
* $150 per service
* $4200 / $4950
* Average: $9150 / 2
= $4575 / 7 months
= $653 per month



I like to have a set rate for each client monthly so they know what their price will be, I also set up automated invoicing and cc charges. I also like to pre-bill.

Any suggestions would be great,

You charge $150/week for 1/2 acre mow, or is that for a group of 1/2 acre lots?
I'd not worry about weekly or biweekly. Just give a monthly fee and state you will maintain whatever height you determine and appearance they require. Figure in the additional weeks, tally it all up, divide by 12.
